How to Report on a Sampling Campaign: Metrics, Feedback, Next Steps
Most sampling campaigns generate far less useful data than they could. Staff collect the numbers they were told to collect, a spreadsheet gets emailed across at the end of the week, and the final report shows total samples distributed with a conversion rate that nobody is entirely confident in. The campaign looked busy. Whether it worked is harder to say.
Better reporting does not require a complicated system. It requires deciding in advance what you are trying to measure, giving your field team the tools to capture it accurately, and building a reporting structure that tells a decision-maker something they can act on. That starts before the first sample is handed out.
Decide what success looks like before the campaign launches
Reporting becomes meaningless if you have not agreed on the metrics that matter. The most common mistake in sampling campaign planning is treating data capture as an afterthought – something the team will figure out in the field. By then, the decisions that determine data quality have already been made for you.
Before the campaign begins, define the primary objective. Is this about generating trial in a new market? Driving immediate uplift at a specific retailer? Building a first-party data asset? Collecting consumer feedback on a new formulation? Each objective points to a different set of metrics. Trying to measure all of them without prioritising tends to produce a report full of numbers that do not add up to a clear answer.
A useful pre-campaign brief should include: the primary success metric, the secondary metrics, what data is being captured by staff, and what the minimum acceptable result looks like. That last point matters – it gives the post-campaign review a baseline for assessing whether the activity was worth repeating.
What to track in the field
Field data collection sits across two categories: activity metrics and consumer response metrics. Both matter, but they are often conflated in campaign reports in a way that muddies the picture.
Activity metrics tell you what happened operationally:
- Samples distributed per day, per location, per staff member
- Hours on the ground versus hours contracted
- Locations covered and any that underperformed targets
- Any product wastage, handling issues or location-specific problems
Consumer response metrics tell you how people reacted:
- Conversion rate from sample to data capture or trial sign-up (where applicable)
- On-the-spot feedback scores or verbal responses recorded by staff
- Objections or questions raised repeatedly across the campaign
- Any spontaneous purchase behaviour observed in-store (harder to track but worth noting)
The quality of what you get back depends entirely on how well your field team has been briefed on what to record and how. If staff are filling in a paper tally at the end of a four-hour shift from memory, the numbers will be approximate at best. Real-time recording using a simple mobile tool or structured sheet, completed during quiet moments in the shift, produces far more reliable data.
Structuring the field reporting process
Field reporting works best when it is built into the shift structure rather than added on at the end. A team leader or senior staff member should be responsible for compiling data at the end of each day, not each week, so that gaps or inconsistencies can be identified while the campaign is still running.
At minimum, a daily field report should cover:
- Total samples distributed
- Footfall estimate for the location (if trackable)
- Consumer sentiment summary – positive, neutral, negative interactions
- Any product, logistics or location issues to flag
- Data capture numbers (if applicable)
Where a campaign runs across multiple locations simultaneously, standardising the reporting template is essential. Different staff members recording the same type of data in different formats creates an aggregation problem at the reporting stage that significantly increases the time needed to pull together a coherent picture.

How to handle consumer feedback data
Qualitative feedback from a sampling campaign is often more valuable than the headline distribution number – and consistently underused. Staff who are well briefed and paying attention will pick up on patterns across consumer interactions that do not show up in any spreadsheet: the flavour that prompts consistently negative reactions, the claim that generates scepticism, the demographic group that is significantly more or less receptive than expected.
Build a structured mechanism for capturing this. A brief end-of-day note from staff covering the most common consumer responses – two or three sentences per team member – produces a qualitative layer that adds real depth to the quantitative numbers. It also gives the briefing team actionable insight for adjusting the script, the approach or the target locations mid-campaign.
If formal consumer feedback is part of the campaign – survey questions, scored responses, structured questionnaires – the data needs to be captured consistently and stored in a way that makes analysis straightforward. That means agreeing on the format before the campaign starts, not trying to reconcile three different spreadsheet structures at the end of week two.
Presenting results to stakeholders
A sampling campaign report that leads with total samples distributed tells a stakeholder very little. A report that shows samples distributed against target, consumer feedback summary, data capture performance, cost per interaction and a clear read on whether the primary objective was met tells them something they can make a decision from.
Structure reports around the decision the stakeholder needs to make – typically: do we repeat this, scale it, adjust the approach, or move the budget elsewhere? Each section of the report should be answering a part of that question rather than documenting activity for its own sake.
Keep the summary section brief and honest. If the campaign underperformed in certain locations, say so and explain what the data suggests as the reason. Decision-makers who receive sanitised reports make worse decisions. The most useful post-campaign report is one that the next campaign planner can pick up and learn from directly.
Using reporting to feed the next campaign
The most overlooked value of sampling campaign data is its forward use. Location performance data identifies where to invest and where to reduce spend next time. Consumer feedback flags where the brief needs to change. Conversion rates by location type reveal which environments produce the most useful trial. Staff performance data – captured honestly and consistently – informs resourcing decisions for future campaigns.
Build a short debrief into the post-campaign process that specifically addresses: what to repeat, what to change and what to test. That summary, written while the data is fresh and the team’s experience is recent, is worth more than a polished report that nobody reads past the executive summary.
The agencies and brands that get progressively better returns from sampling activity tend to be the ones with good institutional memory – where each campaign informs the next rather than starting from scratch. Reporting is how that memory gets built.
